A leading company in petroleum waste management and solids control equipment based in Hassi Messaoud is looking for

Travel Coordinator & Secretary

Main Objective:

  • Provides administrative services by ensuring the roles of office & travel coordinator
  • As Travel Coordinator: Coordinates all aspects of the travel function and researches options to maintain an efficient travel programs.
  • As Office Coordinator to be responsible on a daily basis for ensuring the smooth operation of the office and administrative functions, as well as providing administrative support to the GM/MD.

Main Duties & Responsibilities:

  • Responsible for gathering information about the updated flight schedules from the airport authority and Algeria airport.
  •  Monitoring changes occurred in employees travel schedules to modify travel booking.
  • Issue flight schedules with regular and charter flight carriers on weekly basis.
  • Coordinate with the department supervisors for readjustment in travels upon received, approved and justified travel change form.
  • Make Hotel and Automobile rental reservations in the most economical manner available.
  • Arranges business trips for staff including accommodation, flight bookings and transportation to ensure satisfactory and straight trouble
  • Handling the reservations and the confirmations of the tickets.
  • Issue service request for tickets booking to be submitted to logistics supervisor.
  • Coordinate with the office in Egypt and Algeria concerning the travel arrangements for non-Algerian president employees and experts.
  •  Issue weekly and monthly reports including travel schedules and destinations.
  • Review the Crew Change Form weekly with all departments in order to avoid mistakes.
  • Check the daily Crew Change to issue the daily manifest.
  • Responsible for creating and presenting regular reports on travel programs to the top management.
  • Sourcing travel providers, such as airlines, for cost efficiency, maintaining corporate discount agreements with selected carriers, communicating with the employees to ensure travel times, specific travel arrangements and informing the employees of the final details.
  • Post the daily flights details on the company board one day in advance.
  • Coordinate with the Relex concerning the daily flights details.
  • Ensure that the Camp Boss is fully aware of the daily arrivals and departures.
  • Present a professional, welcoming first contact to all clients, suppliers, staff,. – by
  • Phone, in person, and email. Responsibility for development & implementation of efficient office systems
  • Responsible for keeping office equipment maintained
  • Responsible for organizational functions and general meeting support: including arranging, follow up calls
  • Responsible for incoming and outgoing mails / faxes, shipping and receiving
  • Communicate both informally and formally in scheduled meetings with management, subordinates and peers.
  • Communications generally include reports regarding the daily operation of the office
  • Schedules and coordinates all training with all staff – schedules, location, date/time, materials, and attendance….
  • Distributes, collects, compiles and reports results of evaluation, attendance and training data.
  • Issue administrative documents for all staff (under the supervision of HR department), Work Attestation, ATS, Mission Order….etc
  • Provide support for HR Department, interview schedule, resume files
  • Issue days off for staff (in coordination with HR department) starting their vacation upon reception of the request, considering the approved crew change
  • Perform any other duties as assigned by the SSM / GM / MD


  • Qualifications, Skills, and experiences
  • Qualifications: Bachelor Degree (Translatio or Managment)
  • Experience: 2-4 years
  • Computer Skills: MS Office (V.Good)
  • Language: English (V.Good)/French (V.Good)/Arabic (V.Good)


  • Good English skills.
  • Good IT knowledge
  • Reporting skills.
