What are the key objectives and expectations from this role? 

Plan and maintain the leadership team agenda and schedule (making appointments, organizing meetings and travels) 

Plan and Support for purchasing transactions and work as company interface with external stakeholders (hotels, flight bookings, meetings)

Call filtering management, registration, sorting and transmission of data

What is the direct impact of this role on the team or organization?

Support the Leadership Team with their administrative requirements and planning. 

Reports to : General Manager, Algeria & Morocco

Plan and Ensure a quality reception for the company’s guests from the invitation, the hosting and departure

Proactive management of complex and everchanging calendars

Organize, prioritize, and execute timely coordination of tasks

Conduct the various secretarial work of the leadership team when needed (taking notes, sending, classification, reproduction of mail, archiving etc.....)

Perform sorting, distribution, postage, mail registration and e-mail management

Taking notes from oral or handwritten instructions and presenting them in a professional way

Ensuring the entire processing of certain specific files (collection of information, drafting, seizure, dissemination). Keeping up with various files/projects agenda and applying records management to it

Maintain and prepare the files and documents needed in the meetings of the leadership team (invitations, summary of the file, recall of objects and orientation ...)

Support the planning and coordination of domestic and international travel logistics

Adaptable, curious, and ready to embrace change as part of a dynamic team

Highly collaborative individual who partners effectively with individuals at all levels of the organization



Experience Required: 

  • Minimum of 5 years administrative experience supporting multiple functional leaders; experience supporting high level executives preferred
  • Fluent English in both oral and writing is mandatory
  • High level of Confidentiality required
  • Autonomous and Flexible
  • Experience providing administrative support to Executives in a matrixed multi-national corporation preferred
  • Experience coordinating meetings at events and international travel preferred
  • Bachelor’s degree or similar required
  • Outstanding proficiency in Microsoft applications (Word, PowerPoint, Excel, Teams); ability to troubleshoot basic software issues and learn new systems quickly.
  • Ability to proactively anticipate needs of and opportunities for leaders
  • Ability to build and maintain business relationships and be calm and flexible under pressure and amidst changing priorities
  • Excellent organizational skills with the ability to quickly adapt to changing priorities
  • Strong interpersonal, verbal, and written communication skills
  • Strong problem analysis and problem-solving skills
  • Ability to work a flexible schedule when workloads and deadlines require
  • Excellent communication skills, adaptable, curious and ready to embrace change as part of a dynamic team
